e3 Benelux (hereinafter: “e3”, “we”, “us”, “our”) processes personal data in accordance with the EU General Data Protection Regulation (GDPR) and the Dutch rules on cookies and electronic communications (Telecommunications Act / ePrivacy).

2. Who does this statement apply to?

This statement applies to:

  • visitors of our website www.e3benelux.eu;
  • contacts at (potential) business customers, suppliers and partners (B2B);
  • individuals who contact us via forms, email or phone.

Our services are primarily aimed at the B2B market. We do not intentionally collect data from minors via our website.

3. What personal data do we process?

Depending on your interaction with e3, we may process the following:

3.1 Data you provide to us

  • name;
  • business email address and/or phone number;
  • company name, job title/role, industry;
  • the content of your message, question or request;
  • any other information you voluntarily share (e.g., project context).

3.2 Data we record for sales / relationship management

  • contact history (emails/meeting notes);
  • appointments and follow-up actions;
  • status (e.g., prospect, lead, customer);
  • topics of interest relevant to business follow-up.

3.3 Website and technical data

  • IP address (may be processed in logs/systems);
  • device/browser characteristics;
  • pages you visit and basic log data (for security and operation);
  • cookie preferences (if you use a cookie banner).

Forms: submissions via the website are not stored as database records in WordPress. They are sent to e3 by email. Relevant information may subsequently be recorded in our CRM (HubSpot) to follow up on your request.

4. Why do we use your personal data and on what legal basis?

We only process personal data where we have a purpose and a lawful basis.

4.1 Contact requests, information requests, demos and quotations

Purpose: respond to your request, contact you, schedule a demo, prepare and follow up on a quotation/proposal.
Legal basis: necessary to take steps at your request prior to entering into a contract and/or for the performance of a contract (GDPR Art. 6(1)(b)).

4.2 Delivery of services and customer relationship

Purpose: deliver services, support, contract management, invoicing and administration.
Legal basis: performance of a contract (Art. 6(1)(b)) and/or compliance with a legal obligation (Art. 6(1)(c)) where applicable.

4.3 B2B sales, account management and business development

Purpose: maintain business relationships and contact/follow up with (potential) business customers.
Legal basis: legitimate interests (Art. 6(1)(f)).
We perform a balancing test and consider your reasonable expectations, your role within an organisation and the nature of the communication. You can object at any time (see section 10).

4.4 Security and abuse prevention (incl. reCAPTCHA)

Purpose: protect our website, systems and forms against spam, bots and misuse.
Legal basis: legitimate interests (Art. 6(1)(f)).

5. Do you use “opt-in” for email?

When you submit a form or email us, we use your email address to respond and (where relevant) follow up on your request. No newsletter opt-in is required for this: it is service/transactional communication in the context of your enquiry.

For newsletters or ongoing marketing emails, we request consent where legally required, or we only send communications that are permitted under the rules for business communications and always include an easy opt-out.

6. Which tools/vendors do we use?

We use vendors to support our website and business operations:

  • WordPress (CMS) to manage our website.
  • Brevo as an SMTP email provider for sending/delivering emails (e.g., from website forms).
  • HubSpot as a CRM for relationship and sales administration.
  • LinkedIn Sales Navigator for B2B sales activities and relationship management via LinkedIn.
  • Google reCAPTCHA for anti-spam and form protection.

Important (website tracking):
We do not use the HubSpot tracking code on our website and we do not place website cookies via HubSpot.
We do not use the LinkedIn Insight Tag on our website.

7. Who do we share personal data with?

We only share personal data where necessary for the purposes described above or where required by law.

Categories of recipients:

  • vendors acting as processors on our behalf (such as Brevo for email and HubSpot for CRM);
  • IT/hosting and maintenance providers (for administration/support), where applicable;
  • competent authorities if we are legally obliged to do so.

Where vendors act as processors, we enter into a data processing agreement where required and agree on security, confidentiality and sub-processor controls.

8. Do you transfer data outside the EEA?

Some vendors may process personal data outside the European Economic Area (EEA), for example in the United States (depending on their infrastructure and sub-processors). Where this occurs, we ensure appropriate safeguards, such as Standard Contractual Clauses (SCCs) and additional measures where necessary.

9. How long do we keep personal data?

We do not keep personal data longer than necessary for the purposes for which it was collected, unless a legal retention period applies.

  • contact/quotation requests: up to 24 months after the last contact, unless a customer relationship starts or longer retention is needed for disputes/claims; with periodic review/clean-up (e.g., every 12 months);
  • CRM (HubSpot) prospect/lead data: as long as relevant for business follow-up, with periodic review/clean-up (e.g., every 12 months);
  • customer and contract data: for the duration of the contract and as long as necessary afterwards (incl. legal retention duties);
  • financial administration: 7 years (tax retention obligation)

10. Your rights

You have the right to:

  • access your personal data;
  • correct inaccurate data;
  • request deletion (where applicable);
  • restrict processing;
  • object to processing based on legitimate interests (especially B2B prospecting);
  • data portability (where applicable);
  • withdraw consent (only relevant where we process based on consent, such as certain cookies).

We aim to respond within one month. We may ask for additional information to verify your identity.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

11. Cookies and similar technologies

11.1 What are cookies?

Cookies and similar technologies are small files/identifiers placed on or read from your device when you visit our website. They help the website function properly, remain secure and remember preferences.

11.2 Which cookies do we use?

We use at least the following:

A. Strictly necessary cookies (functional/security) – always active
These are required for:

  • basic WordPress functionality;
  • security and technical operation;
  • remembering cookie preferences (if you use a cookie banner);
  • protection against spam and abuse via Google reCAPTCHA.

B. Analytics cookies – only with consent (if used)
If we use analytics, we only place these after your consent via the cookie banner.

C. Marketing/tracking cookies – only with consent (if ever used)
We only place marketing/tracking cookies after your explicit consent.
At this time, we use no HubSpot website tracking and no LinkedIn Insight Tag.

11.3 Managing your cookie preferences

You can manage cookies via:

  • our cookie banner (on your first visit) and via [“Cookie settings” link in the footer] (if available);
  • your browser settings (delete/block cookies).

If you block cookies, the website may not function as intended.

We may update this statement. The most current version is published on our website. If changes are significant, we will provide a clear notice on the site.
